Guidance for Sharing Custom GPTs at Fresno State
To request sharing privileges for Custom GPTs, faculty and staff must submit a request using the Kuali Build form below. Please review the following guidance, and confirm your agreement through the form. An email confirmation will follow once the form is submitted.
Access Requirements
Custom GPTs are designed for use within the Fresno State ChatGPT workspace only.
- Students will need to review and agree to the Terms & Conditions (T&C) before they can use Fresno State ChatGPT or access a shared GPT.
- At this time, external users outside of the Fresno State workspace cannot be invited.
Tip: Keep your sharing limited to those who need it inside the Fresno State environment.
Uploading Data or Knowledge
When adding content to your custom GPT, think of it as preparing materials for a classroom or campus project:
- Upload only files that meet Fresno State’s Confidentiality of Student and Employee Data requirements.
- Follow the Acceptable Use Policy (APM 622) by keeping your use responsible, ethical, and professional.
- Avoid sensitive materials (e.g., student records, HR files, unpublished research).
- Always keep privacy standards in mind (FERPA, HIPAA, GDPR, CSU data protections).
- Watch out for prompt injection attempts —when someone tries to trick an AI system into ignoring its instructions or performing unintended actions.
Copyright & Intellectual Property
Think of your GPT like publishing course material:
- Only include content you have the right to use or share.
- Avoid uploading copyrighted work unless you’ve received permission.
- Be aware that GPT outputs influenced by proprietary sources could raise copyright issues.
Tip: Use your own work, open resources, or licensed materials whenever possible.
Sharing Best Practices
When you’re ready to share your custom GPT:
- Share directly with individuals who need access, or send them the unique link.
- If you choose to share with “Fresno State” broadly, that means everyone in the Fresno State ChatGPT workspace will be able to use it.
Tip: Think about whether your GPT is meant for a small group, a class, or the whole university before selecting how you share.
Staying Compliant & Inclusive
To make your GPT effective and responsible:
- Align with Fresno State’s AI Policy, Ethics, and Governance Committee guidelines.
- Document your GPT’s purpose, sources, and safeguards — this helps ensure clarity and audit readiness.
- Keep accessibility in mind: make sure responses work across devices and follow APM 237 Accessible Instructional Materials standards.
- Use clear, inclusive, and professional language in both prompts and outputs.
